About Bib Deposits

A simple, event-friendly way to manage refundable bib deposits and related payment holds.

Secure bib deposits

Bib Deposits helps event organisers collect a refundable security hold while keeping the process simple for participants. The app records the event, bib number, and deposit status without taking the full payment upfront.

Event deposit hold

A refundable security hold is placed against the participant's card.

Return deadline

The bib must be returned by the event's stated deadline and condition.

Release or capture

The hold is released automatically when rules are met, or captured if not.

Secure processing

Payments are handled by Stripe with no card data stored in the app itself.

App terms & conditions

These app-level terms govern the Bib Deposits service and any participant payment hold created through the application.

1. Purpose of the service

Bib Deposits provides a simple way for an event organiser to collect a refundable deposit for bibs or equipment issued during an event. The service is intended to encourage efficient return of items and reduce losses.

2. Deposit and payment

The standard deposit is £20 per bib unless an event organiser states a different amount on their event page. The payment is processed securely by Stripe and is generally held as an authorization rather than a completed charge until the event rules require capture.

3. Return and release

Where the participant returns the bib by the stated deadline and in the required condition, the hold is released. Where the item is lost, damaged, or not returned by the deadline, the event may instruct the organiser to capture the deposit.

4. Event-specific rules

Each event may also set additional rules about return deadlines, loss or damage, collection times, required documentation, or dispute handling. Those event-specific rules are separate from these app-level terms and should be read alongside them.

5. Contact

For app support or queries about a payment hold, contact the event organiser listed on the relevant event page or the app operator at tom@tomclare.dev.

Participant obligations

Participants agree to return their bib by the stated deadline, in reasonable condition, and to follow any event-specific collection or return instructions published by the organiser. Bibs that are lost, damaged, or not returned by the deadline may be subject to a charge equal to the deposit amount.

Disputes and enquiries

Any disputes relating to deposit capture, return condition, or lost items should be raised with the event organiser within [X] days of the event. The organiser may determine whether a damage or non-return assessment is warranted under the event's published rules.

App privacy policy

This service is provided by Bib Deposits and is used by organisers to manage participant deposits. We process personal information only as needed to administer deposits, payments, and event operations.

1. Information we collect

  • Name, email address, and bib number.
  • Deposit amount, event or competition name, and payment status.

4. Sharing and retention

Information may be shared with Stripe and hosting providers necessary to run the service. We do not sell personal data. Deposit records are retained only for as long as needed to administer the event and any required accounting or dispute follow-up.

5. Your rights

Participants may ask to access, correct, or delete the personal information held in connection with a deposit, subject to any legal or operational requirements that require retention.
